SEO stands for Search Engine Optimisation, and it’s used by many companies and businesses to improve their website’s visibility in the search engine rankings. This means that when someone searches for something in a search engine, those that are conducting SEO campaigns will appear higher up in the rakings than those that are not. What has this got to do with Excel, I hear you cry?

Well, SEO is a relatively new industry, where many people who work within it have come from a variety of different backgrounds – web design, web development, marketing, business, as well as Journalism and Writing disciplines. For anyone who is familiar with the technical aspects of SEO, they’ll know how crucial Microsoft Excel is. As such, for anyone who is not mathematically or analytically minded, or just not that well experienced using Excel, it might be a bit daunting trying to get to grips with SEO in its fullest form.

So when would you need to use Excel for SEO? Well first and foremost, Excel is a great tool for gathering and sorting data. In SEO, one of the first things that you’ll need to establish is your keywords that you’re going to target. There are a number of tools you can use to establish keyword lists, and these can then be exported into Excel for you to sort through.

Basic functions to learn in Excel for any search engine optimiser include, CONCATENATE, Text to Columns, COUNTIF as well as INFERROR. CONCATENATE will allow you to combine several text strings together, Text to Columns allows you to distribute the contents of one cell across separate columns, COUNTIF will count the number of cells within a range that meet the given criteria, and finally, INFERROR returns a value that you specify if a formula shows up as an error.

The same can be said for when conducting Meta research. Meta refers to the titles and descriptions of the website pages you’re working on. The idea is that each page is given a unique Meta title and description that is also keyword optimised. This will help search engines find the page and improve the Click through Rate for when your website is listed within the search engine results pages. When establishing the Meta for each page, having Excel to use is an absolute godsend, especially if there are a large number of pages to complete.

For example, you could establish a series of columns, each with the different types of Meta that you’re looking to write; so this could be the Meta title, the Meta description, as well as any other additional headers. You’ll also need a column to establish which page you’re targeting the Meta for. Then on each row, you list the multiple pages from the website that you’re looking to optimise. This could be as few or as many as you like, but the option to put all of these into Excel will help, especially if you have a lot of pages to work with.
