Professional Letter Writing

When writing to a company, a professional letter is a must. Professional letters differ from writing a regular letter in many ways, however learning how to write a professional letter isn't hard to do! Follow these easy steps and you will be well on your way to creating letters as good as any businessman.

A professional letter must always be computer generated or typed! Microsoft Word and OpenOffice.org are two of the most popular office software programs available, either of which can be used to create the letters and printed from your home. This is also a great asset as you have a copy of what has been sent.

In a business letter, the date should always be placed in the top right corner of the letter, followed with several spaces, and then your name, address, telephone number and email address if you wish to include it in the information. Begin your letter with formal speech if you are unsure of the exact person you are writing to. To Whom It May Concern is an excellent choice. If you do know the name of the person, be sure to use their name! Ending the letter should always contain a typed name, along with a signature.

A business letter should contain five sentences in each paragraph, if possible. If five sentences are not possible, three lines will suffice. Do not indent the paragraphs as you would in a regular letter, but skip a space in between each to symbolize you are talking about something on a different line.

What You Say? Doesn't sound very business-like, does it? Neither will a letter containing slang, abbreviations, and other information. This is fine when chatting with family and friends, but never, ever should it be used in a professional letter. Use only professional talk in when writing, always sticking to the subject matter at hand.

Along with typing your letter, be sure to perform a spell check and grammar check on your letter before sending it out. A letter filled with errors will probably not be taken very seriously, just as improper grammar is a turnoff to try to sort through. Spell check and grammar tools are found on most of the office software, and can also be found free of charge at various websites. They are some of the best tools that you will ever use! Your professional letter is now ready to be sent to the pleased recipient.
