Software Used Within Payroll Companies

Payroll software has truly changed the way we deal with wages, there used to be a time when you had to work every detail out manually in a book and all of the deductions such as national insurance and income tax would have to be worked out using formulas that were produced by the tax office. Now however the software that is used quickly and simply works out all of these things, which has allowed even small companies to maintain their own payroll. With dedicated payroll companies it’s important to know certain key things about the software that they use.

Whether or not you are going to have sufficient access to the records being held on system is the first question you should ask. All good payroll companies should be honest and open about the software being used and what access you can be offered. For the business outsourcing their payroll, it is important for them to still be able to access their data so that they can keep an eye on the outgoing payments, how much there national insurance bill will be and to look out for any unauthorised or odd payments that may be being made. This can be resolved by sending you regular detailed reports or by allowing you online access to the records being held.

When outsourcing payroll you should be confident that the staff are trained to the highest possible level in the software that they are using. The staff must also be sent on regular refresher courses to keep up to date with any changes in the payroll companies system, or software that is being used. Any new employees must also be fully trained in the use of the system and software before being allowed to input any customer data into the system.

Any software being used also needs to be kept up to date to keep up with changes in rates of tax and national insurance which are altered each year after the new budget is released. It’s important that the payroll staff and the software being used are kept up to date and are ready for any sudden changes in rates or legislation that could cause staff to be incorrectly taxed.

You should have piece of mind that the system used is kept secure for any security threats such hacking, there is a strong firewall within the system to protect it and that it is in compliance with the data protection act. You should also expect them to carry out regular system backups to prevent data loss in the event of a system or server crash or in the event of flooding or fires that could cause data loss.

As outsourcing can be sent overseas, it is important that the software being used is specific to the country that you are working in and that it can produce the relevant forms such as P60, P45 and P11D forms which are using in the UK annually to show earnings, benefits or when an employee leaves there employer. This is because the tax systems vary from one country to the next and so you must make sure that it’s able to do the correct calculations, and that it can cope with the differences if they work internationally and not solely in one country.
